Every time I start working with a school, the first question I ask is simple: what do you have?
The answer is rarely complete. Devices are in closets, switches are installed but undocumented, and software licenses are tied to a former employee's email. That's not a failure on anyone's part. When one person is handling everything, documentation is the first thing to slip. But it's also why inventory is the foundation of everything else we do.
What a Real Inventory Covers
- Devices: student and staff laptops, Chromebooks, tablets, desktops, and printers
- Network infrastructure: switches, access points, firewalls, and cabling
- Servers and systems: on-site and cloud
- Software and licenses: what you own, what you pay for, and when it renews
- Accounts and data: where student data lives and who has access
- Vendors and contracts: warranties, support agreements, and renewal dates
Why It Comes First
Security. You can't defend a device you don't know exists. Unmanaged and forgotten equipment is where attackers look first.
Budgeting. Without knowing the age and condition of your equipment, a refresh cycle is a guess. With an inventory, you can tell your superintendent and school board exactly what needs replacing next year, and what can wait.
Student data privacy. Protecting student data starts with knowing which apps and systems touch it.
Funding and compliance. Grants, E-Rate, and cyber insurance all go more smoothly when you can document what you have.
Knowledge continuity. An inventory is the playbook that stays when people leave. A new tech integrator shouldn't have to rediscover the network by tripping over it.
It Strengthens Your On-Site Team
Your on-site staff know the buildings better than anyone. An inventory turns what's in their heads into something shared and durable. It gives them time back, because they stop answering "where is that?" and start solving the problem.
Planning Starts Here
Strategy built on guesses fails. Strategy built on an accurate inventory holds up. Lifecycle plans, security improvements, and infrastructure upgrades all start with an accurate picture of what's there.
Not Sure What You Have?
That's the right place to start. Let's build the picture together.
